CMTO Privacy Policy

Introduction CMTO recognizes that your privacy may be very important to you, so we have created the following policy to help you feel confident that information about you will remain as protected as humanly possible. CMTO recommends that you read this policy carefully and encourages you to contact us if you have any privacy-related concerns. CMTO reserves the right to revise, amend, or modify this policy at any time. 
CMTO collects information about persons in various ways, including through the league registration process, through phone and e-mail services, through special events and via regular mail. CMTO uses this information primarily to organize tennis matches and related events for its members, but also to inform members of planned activities and changes in procedures. CMTO does not share this information with third parties except under special circumstances, such as when disclosure is required by law; to disclose information that is necessary to identify, contact, or bring legal action against someone who may be violating CMTO policies; or to otherwise protect CMTO and its members. 
Personal Information Members are asked to provide certain personal information when they join CMTO and/or register for a league, including name, address, telephone number, and e-mail address. This information is used to update CMTO mailing lists and to provide contact information to CMTO league players. CMTO only provides this contact information to those players who have registered to play in the same division(s) as you. 
Members also include personal information on e-mail messages sent to the CMTO e-mail box and in correspondence sent to the CMTO post office box. CMTO does not share information supplied in these messages and correspondence with any third party, and only shares the information with other CMTO members as required to successfully conduct the CMTO leagues and tournament. 
Members may also have their names and photo featured in CMTO publications to communicate the winners of league matches or to note key participants in CMTO-sponsored events. These publications are made available to CMTO members only, and member names and photos are included only if the member signed a waiver on his/her league registration form for the current year. 
Web Site Information CMTO does not share information about those who visit its Web site with any persons who are not on the CMTO committee. In addition, this information is only provided to the committee in aggregate form such as the number of hits or the monthly data transfer rate. 
Web Hosting Service HB2 Web, which provides the web hosting service that CMTO uses, has security measures in place to protect the loss, misuse, and alteration of information. While Earthlink claims to make every effort to ensure the integrity and security of its network and systems, it does not guarantee that its efforts will prevent third-party “hackers” from illegally obtaining information about those who access the CMTO web site.
